This role supports the head of staffing to manage the allocation of staff on projects and BD activities by working closely with business operations and practice seniors to understand current workflow and future project planning.

 

Responsibilities:

 

Supports the Head of Staffing in suggesting and implementing departmental improvements 

Interact daily with Partners, Principals, Managers and Business Operations Team members to understand requirements in terms of open needs on projects, required support on marketing/unbillable work 

Suggest staffing allocations by matching available resources to projects by balancing business and personal needs (development needs and preferences) 

Develop an understanding of current staff profiles and skills to aid in optimal allocation staff to projects 

Ensure smooth integration of new hires by suggesting suitable projects and allocating them on business development activities 

Manage the allocation of Summer Interns (Associates and Senior Associates) to projects in line with constraints (timing, nature of work, industry preferences, etc..) 

Ensure that you are continuously communicating with senior stakeholders on staffing decisions and ensure accurate reflection of data on staffing logs 

Collaborate with the Performance Management team to maintain a summarized repository of general pool staff’s development needs and refer to them as input to staffing decisions 

Contribute to the continuous review and improvement of staffing reports and support in implementing new staffing tools and systems 

Coordinate with staffing teams in other regions to manage cross regional staffing for opportunities unable to be filled within the region as well as to explore mobility options for local staff 

Reporting:

Ensure accurate maintenance and timely communication of weekly staffing reports (open needs, master staffing sheet, availability, backlog, vacation leakage, newsletter, etc) 

Track staff deployment and utilization and suggest measures as required (rotations, immediate staffing, etc.) 

Explore opportunities to automate and digitize departmental reports 

Capability:

§ Act as a key liaison to other functional areas of the business and build productive cross-functional relationships especially with Business Operations, Finance and other HR teams

 

 

The candidate we are looking for will:

Be currently based in Beirut

Have Fluent, business level, written and spoken English and Arabic communication skills

Hold a University Degree

Be computer literate (Excel, PowerPoint, Word)
Be approachable and diplomatic, work well under pressure
Have strong interpersonal, organizational and communication skills 

Sound judgment and objectivity
3+ years’ experience (preferable similar role) in a 
professional services employment background 

Good organisational skills

A hardworking attitude, attention to detail and demonstrated ability to work efficiently under pressure

Professional demeanor with experience in a multinational environment
